Multi-Factor Authentication (MFA)

Everything you need to know about MFA at UAL.

What is MFA?

MFA adds an extra layer of protection to our key systems and helps prevent things like data breaches and online fraud. You may have used a similar security measure on websites which hold sensitive data, such as online banking.

How does MFA work?

You will occasionally be prompted to provide a second piece of security information when logging into certain UAL systems.

In this instance, you must complete two steps:

  1. Enter your usual UAL network credentials.
  2. Verify your identity with your mobile phone.

Adding MFA to  your UAL account

You can follow the MFA Student Setup Guide (PDF 1.19MB) and visit the Multi-Factor Authentication FAQs (PDF 134KB) for more information.

Please note although these guidelines mention SMS/call verification, you will no longer be able to use the SMS/call option to verify your identify. Microsoft will prompt you to download the Authenticator app. The guidelines are being updated and the new version will be uploaded soon.

Using your phone with MFA

When adding MFA to your UAL account you will be prompted to download the Microsoft Authenticator app.

If you have MFA set up already, but you were using the SMS/call option, you will now be prompted to download the app as well.

Microsoft have removed the option to verify your identity with an SMS or a call, so you will need to use the free Microsoft Authenticator app.

Set up your backup method

You can choose to set up an alternative back-up method when setting up your preferences, e.g., if your default it to use the app, set up a backup method of email. This will help with potential delays in accessing your account if the app fails.

Update your backups and preferences any time by going to My Sign-ins.

Switching to a new phone in the UK

If you plan on getting a new phone when you arrive in the UK, you will need your old phone with you to enable MFA on your new phone.

How to set up MFA on your new phone:

New phone handset:

  1. On your computer, go to My Sign-ins.
  2. Select ‘Add Method’ and follow the instructions
  3. Your old phone will receive a prompt asking you to connect your new phone handset with MFA. Please confirm this. If you have already discarded your old device, contact IT Service Desk on +44 (0)207 514 9898.

New phone number:

  1. Go to My Sign-ins
  2. Select “Add Method” and follow the instructions to add your new number

Data usage and privacy

  • No data is collected by UAL from your mobile. The Microsoft Authenticator app collects standard device data only.
  • Your details are not used by Microsoft. The Microsoft Authenticator app will never ask you for your UAL credentials.

We work hard to ensure we have robust security measures in place to protect our staff and students, however cyber crime is on the increase across the education sector. MFA is recommended by the Information Commissioner's Office and in use at many Higher Education institutes.

By using MFA, we make the university safer and add another barrier for online criminals.
