UAL virtual event privacy notice

This notice sets out how your personal information will be collected and processed when you register and attend a UAL virtual event.

UAL will use your name and email address to send you a joining link to the event and it will only be used for contacting you in relation to the event you have registered for, unless you have requested to receive other communications from us, such as information about future events. The details you provide on the application form will be retained for 1 year after the event in order for us to track any future interactions you have with UAL.

Zoom events

When you join the event, you will need to provide your name and email address to Zoom or join through your existing Zoom account if you have one. Zoom will be the data controller for any data provided directly to Zoom.

During events such as workshops where active participation is permitted, your screen name will also be available to all other attendees of the event. This will also be the case for view-only events where you contribute in writing to public Q&A or chat.

Recorded events

We may record the event to be shared publicly on UAL channels such as YouTube afterwards for those that couldn’t join the live event, in which case it will be made clear at the start of the event. If you decide to participate and contribute to one of these events, by doing so you consent that any contribution (image or voice) will be available live to other attendees, and can be recorded and published as part of the event by UAL.

If you do not want this personal data captured during recorded events, you will still be able to attend, but should keep your microphone and camera off. Videos will be retained on UAL public channels indefinitely while there is legitimate business interest and kept within UAL as a record of previous activity for up to 5 years after this.

Consent

UAL will collect and process the information you provide to us on the registration form or within event video under GDPR legal basis 6(1)(a) “consent”. You can withdraw consent at any time by emailing the event organiser, after which your data or contribution will be deleted.
