Crediting and consent

When using student work, use this credit structure:

  • (Student/artist’s name), (year and course), (College/Institute), UAL 

When using a photograph of student work, use this credit structure:

  • (Student/artist’s name), (year and course), (College/Institute), UAL | Photograph: (name)

If you include an optional title of the work:

  • (‘Work title’), (Student/artist’s name), (year and course), (College/Institute), UAL | Photograph: (name)

Extra detail student work

Credit everyone involved in a project, such as directors, art directors, choreographers, costume designers, stylists, performers, etc. If this is the case, use this credit structure:

  • (Student/artist’s name), (year and course), (College/Institute), UAL | Photograph: (name), Art Direction: (name), Lighting: (name), Styling: (name), etc.

When student work is part of a campaign designed by a department or agency, include both the student credit and campaign design direction:

  • (‘Work title’ [optional]), (student name), (year and course), (College/Institute), UAL | Campaign design direction: (department or studio name)

When using photography of an activity, use this credit structure:

  • (Name of activity), at (Location of activity), (year), UAL | Photograph: (name)

When using photography of an event or activity that is attributed to a College/Institute, use this credit structure:

  • (Name of activity), (year) and (course [if applicable]), (College/Institute), UAL | Photograph: (name)

When a photograph is of an activity, but not attributed to an individual photographer, use this credit structure:

  • (Name of event), at (Location of event), (year), UAL

Headshots

When a photograph is a headshot, include information about the person’s job. Use this credit structure:

  • (Name of Person), (Job title), (College or team) UAL (or name of organisation) | Photograph: (name)

For graphic design or illustration created by a UAL team/department, use this credit structure:

For graphic design or illustration created by an external agency or freelancer, use this credit structure:

  • (Work title) | Campaign design direction: (agency/freelancer name)

For videos created by a UAL team or department, use this credit structure::

For videos created by an external agency or freelancer, use this credit structure::

Photos and videos of individuals are considered personal data by General Data Protection Regulation (GDPR). In many cases, you will need to obtain consent to capture and use photos/videos fairly and lawfully.

External contributor release forms

Before taking photographs or filming for UAL purposes, please download and use the UAL External Contributor Release Form (DOCX 41KB) (UAL staff login required) where appropriate:

  • Taking and using photos/videos of people without their consent could constitute a breach of GDPR.
  • Don't photograph or film an individual if they object to it.

Withdrawing consent

An individual can withdraw their consent in writing, even after having signed the consent form:

  • Once consent is withdrawn, UAL can't use the relevant images again.
  • It's not possible to recall documents in which their image has already appeared.

Photography or filming in public areas

If you film or take pictures in public areas, you should display a Location Warning Notice for filming or photography. Then, you can incidentally capture passers-by in the background without their consent.

Photography or filming groups

Small groups

When filming or taking pictures of a small group that involves individuals other than the main subject, their consent will be needed:

  • Ensure all those involved are happy to be photographed or filmed.
  • Ask all individuals to complete the UAL External Contributor Release Form (DOCX 41KB) (UAL staff login required).
  • Get permission from the parent or guardian of anyone under 18 years old.

Large groups or lectures

When filming or taking pictures of a lecture delivered to a large group of registered students, it's not necessary to ask them all to complete a release form. If it's a public lecture or will be made available online, you need to:

  • Ask the presenter to sign the UAL External Contributor Release Form (DOCX 41KB) (UAL staff login required) before recording.
  • Ask students or members of the audience participating in the lecture to sign a release form.
  • Display a location warning notice and verbally tell all those present that you will be photographing or filming.
  • Offer the audience to sit somewhere where they will not be photographed or filmed.

You'll also need to consider the following in terms of copyright:

  • The presenter must not include any third party content, unless they have permission/a licence.
  • The consent form allows UAL to use the lecture content and any of the presenter's performance rights.

Storing photographs and film recordings

Treat all photos and recordings which contain personal data in the same way as personal data held in other formats:

  • Keep and dispose of them securely when you no longer need them, in accordance with our guidance on Data Security.
  • Details of the subject's race and ethnic origin are classified as Sensitive Personal Data.
