Make sure you have all the right documentation for your exchange trip.

Certificate of arrival

When you arrive at your host institution, please contact the International/Erasmus coordinator and make sure you have your Certificate of Arrival signed and sent to the UAL Mobility Manager and Erasmus Coordinator (

It should be sent within two weeks of your arrival.

Learning Agreement

When you arrive, you will enrol and register for your classes, with the help of the Erasmus/International Coordinator, this should be a straightforward process.

It is vitally important that you get your Learning Agreement and all changes to your Learning Agreement signed and agreed by all parties within five weeks after the start of your studies:

  • Your host university (with signature and stamp).
  • Your designated academic at UAL.
  • Yourself.


Certificate of Attendance

Before coming home, you must ask your host university to sign your Certificate of Attendance to verify that you have successfully completed the exchange.

You should email the Certificate to the UAL Mobility Manager and Erasmus Coordinator at within two weeks of your departure from your host institution.

Transcript of Records

Before coming home, please ask your host university for your Transcript of Records (a document that details the course modules or units you have passed/failed and the grades obtained).

Your transcript might also indicate the number of ECTS credits you have achieved. It is important that you give a copy of your transcript to the UAL Mobility Manager & Erasmus Coordinator at as soon as possible so that your results can be taken into account for your progression at UAL.

When UAL receives your Transcript of Records obtained in your host institution, it will convert the grades obtained into UAL grades. Your credits will thus be fully recognised by UAL and you will be able to progress in your studies.

The European Credit Transfer System (ECTS) is a student-centred system based on the student workload required to achieve the objectives of a study programme with objectives specified in terms of the learning outcomes and competences to be acquired.

The ECTS makes study programmes easy to read and compare for all students, local and foreign. It facilitates mobility and academic recognition by helping universities to organise and revise their study programmes. When academic credits awarded by UAL are to be converted to ECTS (and vice-versa), this will be on the basis of 1 UAL credit being equivalent to 0.5 ECTS.

Compulsory online EU Survey

The participant shall complete and submit the online EU Survey within 30 days from the end date of the mobility period. You will receive the link to the survey by email at the end of your mobility period abroad.

This survey is a requirement of the European Commission. Please note that the second instalment of your grant will be held back until all forms are returned and the survey has been completed.

The survey should be completed within 30 days from the end date of the mobility period at your host institution.

Grant receipts

The participant needs to submit two grant receipts to confirm reception of each instalment of the grant. The receipt is an online form which simply confirms the amount of money received, as well as the date the grant was received.

  • Submit the receipt for the first instalment
  • Submit the receipt for the second instalment
