  • Prize Draw Rules

1.       The Draw

1.1.    This document sets out the rules for the University of The Arts London Graduation Ceremony Earlybird Prize Draw 2012 (“the Draw”). University of the Arts London is the promoter of the Draw. Its registered office is at 272 High Holborn, London WC1V 7EY

1.2.    In these rules “we”, “us” and “our” refer to University of the Arts London. By returning your completed registration form for your University of the Arts London graduation ceremony you agree to these rules.

1.3.    The Draw is a free prize draw.

 

2.       How to join in the Draw

2.1.      If you are a student at the University of the Arts London and are eligible to graduate at our graduation ceremonies held in July 2012, you are eligible to take part in the Draw.

2.2.       Each registration form which we receive for the 2012 graduation ceremonies will be entered automatically into the draw, provided that:

2.2.1.  you are an eligible student under these rules; 

2.2.2.  the registration form has been fully and correctly completed; and

2.2.3.  The online registration form is received by us in the Examinations and Conferment office not later than 17.00 hours on Monday 19 March 2012.

 

3.       How the Draw Works

3.1.      The Draw will be held on Monday 26 March 2012. Three prizes are available for each of our graduation ceremonies (see rule 5 below). In respect of each of our graduation ceremonies, we will randomly select three registration forms (one form for each prize) from amongst those students who are eligible to take part in the Draw and who have satisfied the requirements set out in rule 2 above.

3.2.      In all matters relating to the Draw, our decision is final and we will not respond to further questions or queries. We do not accept any liability for any letters or communications lost, damaged or delayed in transit.

3.3.      If the Draw cannot take place on Monday 26 March 2012 it will take place as soon as reasonably practicable after that date.

 

4.       Announcing the Winners

4.1.    Not later than Tuesday 27 March 2012 we will send an email to each potential winner, using the email address entered on the winner’s registration form. We may also try to contact winners by other means, such as by post or by phone, where we have these details.

4.2.    It is your responsibility to ensure that the contact details which you include on your registration form are correct.

4.3.    We will also post the winners’ names on our website, and by submitting your registration form you consent to us doing so.

4.4.    The potential winner will no longer be entitled to a prize if: 

4.4.1.   we have not been able to send a letter because post has been returned from the address provided, or we have not made contact through other means because incorrect email or other contact details have been provided, by Monday 19 March 2012; or 

4.4.2.   if having made contact with a potential winner we have not received a response from them by Tuesday 24 April 2012.

4.5.    If any potential winner with whom we make contact informs us that they do not wish to accept the prize, we may carry out a further Draw to find an alternative winner for that prize.   

 

5.       Prizes

5.1.    The following prizes will be awarded to the winners in the Draw:

5.1.1. tickets for a private box (seating 4 people) at the Royal Festival Hall London at the graduation ceremony for which the winner has registered;

5.1.2.  Free hire of the academic robes needed for the ceremony for which you register. The official academic robes for University of the Arts London are provided by Ede & Ravenscroft. The design of hood and robe differ according to the qualification: PhD, MA, Postgraduate Diploma or Certificate, Graduate Diploma or Certificate, BA (Hons), FdA / FdSc or Diploma in Higher Education / Certificate in Higher Education. The cost of hiring robes online varies between £44.00 and £56.00

5.1.3.  a free graduation photography package at the ceremony for which you register, consisting of a Standard Photography Pack. This will be provided by Barrett & Co - the official photographers for the University of the Arts London Graduation Ceremonies. This will consist of one 10” x 8” and four 5” x 4” photographs of the same image.

5.2    One set of three prizes will be drawn for each of our graduation ceremonies taking place in July 2012.

6.  Changes to the Draw and Ending the Draw

We may cancel the draw without notice if we are prevented from continuing because of a legal or regulatory issue, or for any cause beyond our reasonable control. If this happens we will notify you by placing a notice on our website at www.arts.ac.uk/student/awardceremonies/.

 

Tickets:

  • Registration for the Awards Ceremonies must be made by Friday 4th May 2012 to avoid late registration fees.
  • Do not wait until you have completed your qualification to register for your Ceremony or it may be too late to accept your registration and you will be subject to late fees.
  • Registrations made after Friday 4th May 2012 will be subject to a late registration fee of £60 in addition to the cost of any tickets you may purchase.
  • To guarantee attendance at the ceremony registrations must have been received no later than Friday 1st June 2012. Should it be possible to accept your registration after this date, we cannot guarantee your guests will be able to sit together or that your name will appear in the programme.
  • If we are able to accept your registration after Friday 1st June 2012, this will be subject to an extra late registration fee of £90 in addition to any tickets you may purchase.
  • After Friday 1st June 2012, no changes to ticket requests can be made.
    • If you do not pass your qualification, the cost of tickets will be automatically refunded in August/September 2012.
    • ***Make sure your application for tickets is correct when you first submit your registration form. After the Friday 1st June 2012 we regret that amendments to registrations cannot be made and cancellations will not be refunded***
    • Ticket allocations vary for each College/Faculty. Tickets cost £26 each, we regret that there are no reductions for children.
    • You can only apply for additional tickets if you purchase the maximum guaranteed number of tickets for your ceremony.
    • Additional tickets are not guaranteed, and will only be allocated after the 6th July.
    • We will email your ticket allocation to the external non-UAL email address you have provided on your registration form. Also included with this email will be further details of your ceremony.
    • Additional tickets are priced at £26 and must be paid for (cash only) on the day of your ceremony. Do not pay for them when you register.

 

Payment:

  • Tickets can be purchased by credit or debit card. Cheques will not be accepted.
  • We cannot accept payments over the phone.
    • Payments should be made with a PC (using the latest version of Internet Explorer or Mozilla Firefox) or an Apple (using the latest version of Safari).
    • If your payment has not been successful you will not be allocated any guest tickets.
    • If you are having trouble with payments it is your responsibility to contact the Awards Team to sort out your payment
    • Once you submit your payment, you will be sent a confirmation email - make sure you keep this, just in case of any queries over your payment or tickets.

 

Refunds:

  • Refunds will be given in cases where you are ineligible to attend the ceremony because the conferment of your award is delayed.
  • Due to time constraints, we cannot process these refunds until after August 2012.
  • Full Refunds can be given for cancellations received before Friday 4th May 2012.
  • After Friday 1st June 2012 we regret that cancellations will not be refunded.

 

On the Day:

  • If you do not have official University of the Arts London robes hired from Ede & Ravenscroft you will not be allowed to cross the stage.
  • If you arrive late we cannot guarantee that we will be able to fit you into the ceremony, although we will try our best.

 

Don't Forget:

  • It is your responsibility to make sure you are completely registered and eligible to attend the ceremonies.
  • All liabilities to the University must be paid by the time of your Exam Board. If you are unsure of this date, check with your School Office. Failure to clear outstanding tuition fees/halls fees/nursery charges/library books and equipment may mean you are unable to attend the ceremony and your name will not appear in the Award Ceremony programme.
